Electronic Signature and Record Consent

Company: Hands on Concepts 3 Inc., operating as Hands on Concepts ("HOC," "we," "us," or "our")
This Electronic Signature and Record Consent ("Sign Consent") governs the use of electronic records and signatures for documents sent by HOC through Odoo Sign or another electronic-signature service identified in the signing process. It supplements the specific document being signed and HOC's other applicable policies and agreements.
1. Consent to Electronic Records and Signatures
You consent to receive, review, complete, sign, and retain documents electronically. You agree that an electronic signature, initial, checkbox, date entry, typed name, uploaded signature image, or other electronic action used in the signing process may have the same legal effect as a handwritten signature to the extent permitted by applicable law.
Your consent applies only to the transaction, document, or continuing relationship for which electronic records are presented. It is not consent to receive marketing communications.
2. Intent, Review, and Authority
By selecting an acceptance control, adopting or applying a signature or initials, or clicking a button labeled Sign, Approve, Validate, Complete, or similar language, you confirm that:
- you intend to take the stated action electronically;
- you had an opportunity to review the complete document and any attachments presented with it;
- the name, email address, and other identifying information you provide are accurate;
- you are the identified signer or are legally authorized to act for the identified person or organization; and
- you will not permit another person to use your signing link, authentication code, account, or signature without lawful authorization.
If you do not understand a document or believe it is incomplete or inaccurate, do not sign it. Contact HOC to request clarification or correction.
3. Document-Specific Approval
This general Sign Consent does not itself approve a wheelchair configuration, measurement, CAD drawing, quotation, invoice, change order, deposit, manufacturing release, warranty decision, or other transaction. Approval occurs only when you sign or affirmatively accept the specific document containing that approval.
For a CAD or dimensional sign-off, your signature confirms only the approvals expressly stated in that sign-off document. The signed document, its incorporated attachments, and any later signed amendment control the scope of that approval.
4. Option to Use Paper and Withdrawal of Consent
You may decline to sign electronically and may ask whether HOC can provide a paper or other lawful signing method. To request an alternative, contact HOC using the information below before signing. An alternative process may require additional verification and may affect processing or production timing.
You may withdraw consent to future electronic records or signatures by sending HOC a clear written request. Withdrawal is effective after HOC has a reasonable opportunity to process it. Withdrawal does not invalidate an electronic signature, consent, authorization, or record completed before the withdrawal became effective, and it does not eliminate obligations already created by a signed document.
5. Hardware and Software Requirements
To use electronic signing, you need:
- a device with reliable internet access;
- a current web browser capable of using secure websites, JavaScript, and cookies required for the signing session;
- access to the email address or authentication method used for the signing request;
- software or browser functionality capable of displaying and downloading PDF files; and
- sufficient electronic storage, or access to a printer, to retain a copy.
By proceeding, you confirm that you can access the electronic document in a form you can read and retain. Contact HOC if these requirements change in a way that prevents access.
6. Electronic Delivery and Contact Information
HOC may deliver signing requests, reminders, completed documents, certificates, and related notices to the email address, portal account, telephone number, or other electronic destination associated with the transaction. You are responsible for keeping that information current and for reviewing messages from HOC, including reasonable spam or junk-mail folders.
Electronic delivery is effective as provided by applicable law and the governing transaction documents. A failed or delayed transmission does not waive any non-waivable notice requirement.
7. Access, Copies, and Retention
You should download and retain the completed document and any certificate of completion when they become available. You may request a copy from HOC, subject to identity verification, lawful retention limits, and any fee permitted by applicable law.
HOC may retain signed documents and associated evidence for warranty, safety, quality, accounting, tax, regulatory, dispute, and legal purposes in accordance with HOC's Privacy Policy, retention practices, and applicable law.
8. Attribution and Audit Evidence
To establish the identity, intent, timing, and integrity of a signing event, HOC and its signature provider may create and retain available audit evidence, including:
- the signer's name, email address, account, and role;
- timestamps, signing sequence, delivery events, and completion status;
- internet protocol address, device, browser, and approximate location information when available and lawful;
- email, access-token, SMS, identity-provider, or other authentication results;
- signature and initial images, entered values, checkbox selections, and refusal information;
- document hashes, integrity records, certificates of completion, and change-detection information; and
- communications and technical logs reasonably related to the signing process.
The absence of a particular category of evidence does not by itself invalidate an otherwise lawful signature. HOC may evaluate the complete circumstances and may require additional verification.
9. Security and Authentication
Keep signing links, access tokens, passwords, and authentication codes confidential. Promptly notify HOC if a request was sent to the wrong person, your email or device was compromised, or a signature may be unauthorized. Do not forward a signing link unless HOC expressly permits reassignment or delegation.
HOC may require email verification, account authentication, SMS verification, identity-provider verification, a digital certificate, live confirmation, or a handwritten signature when appropriate for risk, law, location, document type, or suspected misuse. HOC may pause or reject a signing event when identity, authority, consent, or document integrity cannot reasonably be verified.
10. Document Integrity, Corrections, and Refusal
Do not alter a document outside the approved signing process. If a document changes materially after you sign it, HOC will obtain a new signature or other legally sufficient approval when required. A corrected or updated wheelchair configuration, CAD drawing, price, measurement, or manufacturing instruction may require a new sign-off.
You may refuse to sign and provide a reason through the available process or by contacting HOC. Refusal may prevent HOC from proceeding with the affected approval, order, production step, service, or transaction.
11. Privacy and Sensitive Information
HOC handles personal information used in signing according to the Privacy Policy and, when applicable, the Consumer Health Data Privacy Policy. Do not enter unnecessary medical, financial, authentication, or other sensitive information into open text fields.
Odoo or another identified service provider may process signing information on HOC's behalf and may apply its own legally required notices. HOC does not use this Sign Consent as consent to sell personal information or to use signatures for unrelated advertising.
12. Accessibility and Assistance
If a disability, language need, assistive technology, or technical problem prevents you from reviewing or signing a document, contact HOC before signing. HOC will provide reasonable assistance or an alternative process as required by applicable law. See HOC's Accessibility Statement.
13. International Use
Electronic-signature requirements differ by country and document type. HOC does not represent that one signing method satisfies every formal, notarization, witness, qualified-signature, medical-device, consumer, or accessibility requirement worldwide. Mandatory law in the applicable jurisdiction controls. HOC may require a different signature method, additional authentication, a witness, notarization, or paper record for a particular transaction.
14. Relationship to Other Agreements
This Sign Consent addresses the method of creating and delivering electronic records. It does not replace HOC's Terms of Use and Sale, Sales, Shipping, Returns, and Refunds Policy, Limited Warranty, Privacy Policy, an accepted order, or the specific document being signed.
If this Sign Consent conflicts with a mandatory law, that law controls. If it conflicts with a document-specific provision about what is being approved, the signed document controls that subject. HOC's general Terms control other contractual subjects to the extent legally enforceable.
15. Changes to This Sign Consent
HOC may revise this Sign Consent prospectively. The version presented or linked when a signing request is completed governs that signing event. If a change to hardware, software, delivery, or legal disclosures materially affects electronic access, HOC will provide legally required notice and obtain renewed consent when required.
